Cancellation & Reimbursement Policy

  • If the 2023 Asian Seed Congress is cancelled due to force majeure, all payments already received will be fully reimbursed, minus bank transfer fee of 100 USD per transaction.
  • If you wish to cancel your ASC 2023 registration and inform APSA by 30 September 2023, then 100% reimbursement will be made, minus bank transfer fee of 100 USD per transaction.
  • If you wish to cancel your ASC 2023 registration and inform APSA by 31 October 2023, then 50% reimbursement will be made, minus bank transfer fee of 100 USD per transaction.
  • Any cancellation made after 1 November 2023, no reimbursement will be made.
  • All registration that is unpaid after 1 November 2023 will automatically be cancelled.

CONGRESS FULL DELEGATES

Congress delegates are entitled to:

  • Receive a personal registration badge.
  • Receive Congress materials such as the ASC Delegate Bag and Program Book.
  • Entry to all Congress Zones, such as the trading table area, meeting room(s) and exhibition area(s).
  • Attend the Annual General Meeting (AGM), congress workshop or any technical session meetings.
  • Attend all social events such as the Inaugural Ceremony, Welcome Cocktail Party and Grand Banquet.
  • Attend and dine at the congress coffee breaks & buffet lunches.
  • Participate in the fun run for charity event.

ACCOMPANYING PERSON

Accompanying Persons (Spouse) are entitled to:

  • Attend social events such as the Inaugural Ceremony, Welcome Cocktail Party and Grand Banquet.
  • participate in the fun run for charity event.
  • have a separate registration badge.
  • have a complimentary hosted luncheon.
  • have a complimentary hosted tour of the host country arranged by NOC including lunch.
  • have other choices of tours, which they may take at their own cost.

Accompanying Persons (Spouse) ARE NOT entitled to:

  • receive Congress materials such as the ASC Delegate Bag and Program Book.
  • enter the trading table area, meeting room(s) and exhibition area(s).
  • attend the Annual General Meeting (AGM), congress workshop or any technical session meetings.
  • attend and dine at the congress coffee breaks & buffet lunches.
  • participate in the hosted post congress tour.

BOOTH EXHIBITORS

Booth Exhibitors are entitled to:

  • strictly assigned only to the exhibition area.
  • have a separate registration badge.
  • participate in the fun run for charity event.
  • attend and dine at the congress coffee breaks & buffet lunches.

Booth Exhibitors ARE NOT entitled to:

  • receive Congress materials such as the ASC Delegate Bag and Program Book.
  • enter the trading table area, and meeting room(s).
  • attend the Annual General Meeting (AGM), congress workshop or any technical session meetings.
  • attend social events such as the Inaugural Ceremony, Welcome Cocktail Party and Grand Banquet.
  • participate in the hosted post congress tour.

DAY PASSES

Day Passes can be used ONLY on 20 – 23 November 2023

Day Passes are entitled to the following:

  • Receive a unique ASC 2023 Delegate Badge
  • Entry to all congress areas, which includes Trading Table Area, Meeting Rooms and Exhibition Area.
  • Can participate and attend all Technical Sessions for the day.
  • Dine on congress coffee breaks and buffet lunch.

Day Passes are NOT entitled to the following:

  • Receive the ASC 2023 Delegate Bag and Book.
  • Attend any social event, which includes the Welcome Cocktail and Grand Banquet.
  • Attend the ASC 2023 Post-Congress Tour.
  • Local Day Passes are ONLY for local New Zealanders and foreign employees currently working in New Zealand. Proof of citizenship and/or employment in a New Zealand company must be shown

TRADING TABLES

  • 650 USD per table.
  • Limit of 3 trading tables per company allowed.
  • Total of 150 Tables available.
  • Each Trading Table is 180 cm x 90 cm, with 4 chairs and electrical outlet.
  • Only once payment is made and received, will trading tables be assigned accordingly.

SEMI-PRIVATE MEETING ROOMS

  • 1,500 USD per semi-private meeting room.
  • Limit of 3 semi-private Meeting Room per company allowed.
  • Total of 17 semi-private meeting rooms available.
  • Each semi-private Meeting Room is 3m x 3.5m, with table and 6 chairs and electrical outlet.
  • Once payment is made and received, APSA Secretariat will contact you regarding your selection of semi-private meeting room location.

PRIVATE MEETING ROOMS

  • 8,000 USD per private meeting room.
  • Limit of 1 private meeting rooms per company allowed.
  • Total of 3 private meeting rooms available .
  • Each Private Meeting Room is different in size and dimension.
  • Once payment is made and received, APSA Secretariat will contact you regarding your selection of private meeting room location.

REGULAR / CORNER EXHIBITION BOOTH

  • 3,500 USD per regular booth.
  • Limit of 3 regular booths per company allowed.
  • Total of 31 regular exhibition booths available.
  • Each regular exhibition booth is 3m x 3m with 1 table and 2 chairs and open on either 1 or 2 sides. For more details, please view ASC 2023 Exhibitor Manual.
  • Once payment is made and received, APSA Secretariat will contact you regarding your selection of exhibition booth location.

SUPER EXHIBITION BOOTH

  • 12,500 USD per super booth.
  • Limit of 1 super exhibition booth per company allowed.
  • Total of 2 super exhibition booths available.
